Word Lists

What is a Word List?

Word lists are used to provide exact spelling, capitalization and formatting of common terms our clients use.  There are two different kinds of word lists you will encounter when working on jobs:  the SpeakWrite word list provided for use on all SW jobs, and the client word list, which differs from client to client and job to job.   


Using the Word List

When using a word list, type the word or phrase how it appears in the word list with the proper capitalization, spelling and punctuation. 

You must still only type what is dictated, regardless of the word list entry.

Client Word List in TypeEasy

The picture to the right is an example of a client word list.  It is located on the Document tab, next to your document.  The client word list takes precedence over the SpeakWrite word list if there are any conflicts. 

You can choose to show or hide it by checking the Show Word List checkbox:


To use a term, you can either type it as it appears in the list, or you can double-click on the entry in the word list. TypeEasy will then automatically insert it where your cursor is currently located.  

Use the Search box to help easily locate terms when clients have longer word lists.




Adding Words to Client Word List

Occasionally, clients might spell a term in their audio and ask you to add it to their word list.  In this instance, open a Help Ticket and let the Help Desk know about this request, including a timestamp where the request is made.


SpeakWrite Word List in TypeEasy

The SpeakWrite word list can be found in TypeEasy on the SpeakWrite Words tab.  The client word list will always take precedence over the SpeakWrite default word list.  The SpeakWrite word list provides common spellings/capitalizations of words used often in SpeakWrite work.  A copy of the list can be downloaded at the bottom of this page.  It is also always accessible when working on a job in TypeEasy.



Word List Policies

It is vital that you pay close attention to client word lists. 

Failure to use the spellings provided in client word lists is considered a major error and often leads to client complaints. 

Capitalization

If a word is capitalized in a word list, it should be capitalized in your document.  The only exception to this would be if the client gives instructions (oral or written) that the word/phrase should not be capitalized.  Words in lowercase on the word list should only be capitalized according to regular rules of capitalization (i.e. at the beginning of a sentence, etc.)
