How to Reject to Client
Rejecting a job is very serious – it returns the job directly back to the client with a note indicating we cannot complete it. This should NEVER be done without express permission from the help desk. Jobs will only be rejected in very rare circumstances.
In limited circumstances, SpeakWrite is unable to complete a job for a client. You should ONLY request to reject a job when one of the reasons below causes it to be impossible to complete.
Please note, you MUST have permission from the help desk before ever rejecting a job.
Carefully review the following list of possible rejection criteria before requesting to reject any job:
- Excessive interference and/or static
- Audio fading in and out
- Volume too low
- Distorted dictation from speaking too close to the microphone
- Dictating too fast (if using "Slow" audio stream)
- Excessive equations
- Mumbling throughout the dictation
- Large number of medical terms
- Fax quality too poor or text size too small
- Action requested is outside current service offerings
Reject to Client
You must submit a Job-Related Help Ticket requesting permission to reject the job. Never reject a job without permission from the Help Desk.
Rejected jobs are reviewed by Management. If a job is found to have been rejected in error, without a Help Ticket, this is a failure to meet responsibilities and consequences will be applicable.
When submitting your request to reject:
- Give us a detailed justification for not completing the job in your Help Ticket. Be sure to provide the audio position(s) of sample problem areas.
- Continue to work on the job and wait until your Help Ticket is reviewed by SpeakWrite. You must wait to receive our response. You will receive both an audible and visible signal when your Help Ticket has been answered. We reply very quickly so you can get back to work.
- If you are given permission to reject the job, you will still be paid for the portion completed.
- If the Help Desk instructs you to complete the job, you must do so, using **** for inaudible portions. Do not spend an inordinate amount of time listening to poor audio and be sure to use **** as necessary.
- Under no circumstances should you submit the job as a partial unless it is the end of your shift. This is considered job dumping and can have serious consequences.
If you feel that a job should be rejected, but the Help Desk is already closed, please submit the job as partial, and indicate the reason you feel the job should be rejected in the 'Add Comments For Proofreader' section of TypeEasy.
Rejection Procedure
Before rejecting a job, you must open a ticket and receive permission from the Help Desk.
After Hours
When the Help Desk is closed, all rejections are handled by Proofreaders. Follow after hours procedures of submitting the job as a partial with a comment to proof explaining why you think the job should be rejected. Never reject a job without permission just because it is after hours.
If you are given permission to reject a job, follow the steps below:
- Leave the document blank, or leave what you have typed so far. Please note, everything in the document will be sent to the client along with the rejection reason, so never leave anything inappropriate in a document before rejecting.
- Click the Job Submission tab.
- Click the Submit button.
- Select the Reject option.
- In the Reject to Client box, check the box next to the appropriate reasons for rejection.
- Click Submit This Job Now.
