Typist Responsibilities

SpeakWrite Management looks at various aspects of a typist's performance. We utilize internal reports, proofreader feedback, and a variety of other tools to assess the quality of our typists' work. 

As stated in the typist agreement signed by all SpeakWrite typist applicants, SpeakWrite reserves the right to re-evaluate a typist's contract status at any time.  All contract decisions are final. 


GENERAL RESPONSIBILITIES

SpeakWrite Typists must maintain all standards set forth in this OLH manual by SpeakWrite Management. This includes but is not limited to:

  • Follow all state and local regulations to maintain appropriate independent contractor status. 
  • Follow all scheduling and attendance policies. 
  • Meet or exceed SpeakWrite quality standards on all jobs.
  • Follow SW policies regarding rejecting jobs, overdue jobs, etc. 
  • Conduct all communications with professionalism. 
  • Review OLH regularly and stay up to date with changes. 
  • Utilize the typist newsletter and typist Facebook group (optional) for additional support.
  • Check email regularly and respond to all SW email as needed within a reasonable amount of time.  
  • Never report email from SpeakWrite as spam.  All SpeakWrite emails are sent purposefully. If you want to opt out or stop receiving emails, please let us know rather than reporting emails as spam. 
  • Follow the appropriate channels for complaints and questions according to the Getting Help resources. 


QUALITY STANDARDS 

When typing, proofing and submitting jobs, SpeakWrite Typists must provide quality work to clients, including:

  • Follow OLH policies and procedures for typing jobs.
  • Follow client oral and written instructions and word lists on EVERY job.
  • Be aware of SW scope of service policies so that you will know when a client request should not be followed, and what to do in that situation. 
  • Know when to ask for help.
  • Proofread all of your work (whether the job is submitted as partial or complete) to ensure that quality documents are being reviewed and sent to clients.

If management receives a complaint about the quality of work submitted on a job, the job will be reviewed to determine if it meets SpeakWrite quality standards, based on the Quality Standards document which is attached below.  This applies to regular typing jobs, group conversations, and .pdf jobs as well.

NOTE:  This is not related to normal proofreading of typist jobs.  This only applies to jobs that have received complaints.  

If a determination is made that the job (or a typist's portion of the job) does not meet SpeakWrite quality standards, the typist/PR will receive a quality warning as follows: 

  • 1st Occurrence – Official warning from SW Management
  • 2nd Occurrence – Second warning and pay retraction
  • 3rd Occurrence – Potential suspension/skill development courses required at SW Management's discretion
  • 4th Occurrence – Contract termination

These consequences will be implemented on a rolling 6-month basis, which means that if you have had no warnings in 6 months, all of your previous warnings have expired and you would start again from the beginning. 

SPEECH RECOGNITION SOFTWARE

Using any type of speech recognition software, such as Dragon or Google Voice, is strictly prohibited in SpeakWrite work.  SpeakWrite promises its clients that all documents will be transcribed by real people. 

To quote from our client web site:  "SpeakWrite is packed with features you won’t get with other services or voice recognition."

If a typist is suspected of using any speech recognition software, their contract could be in jeopardy.
